PANGKALPINANG – PT Pupuk Kujang visited PT Timah for a benchmarking exercise on improving the company's document security and archiving systems on Thursday (September 26, 2024).
During this visit, the delegation from PT Pupuk Kujang, led by Amanda Rahma Putri Karnada, AVP of Secretariat at PT Pupuk Kujang, was warmly received by Dhiesta Febrionna, Head of Archiving and Document Control at PT Timah, along with the Archive Service Unit team.
Dhiesta Febrionna introduced PT Timah's archiving management system, including the applications used and the digitization of archives that has been implemented at the company.
The two sides also engaged in discussions about archival security systems and visited PT Timah’s archive storage facility.
Amanda Rahma explained that they chose PT Timah for benchmarking as it is one of the state-owned enterprises (SOEs) accredited by the National Archives of the Republic of Indonesia (ANRI) with a “Special AA” qualification for archiving management in 2023.
She noted that there were many new practices they could adopt from PT Timah’s archive management system, particularly in terms of archival security, correspondence management, archive classification, and the arrangement of archive rooms.
“We are here for benchmarking and to learn about archiving, correspondence, and document security. After this visit, we will present our findings to management to enhance our security measures, such as sprinklers, room organization, security access for archives, and adjustment of work tools,” she said.
She also mentioned that PT Pupuk Kujang is currently in the process of organizing its archives, and there are still areas that need improvement. This visit provided inspiration for them.
“We are still in the process of organizing our archives, and many old documents have not yet been destroyed. After seeing how well PT Timah manages their archives, which is done in a neat and comfortable way, it has inspired us in terms of archive security,” she added.
Previously, several other SOEs, such as PT KAI and PT Taspen, had also conducted benchmarking visits to PT Timah regarding archiving management. (*)
